The Challenge of the Global Teaching Conference in Nairobi 2023

In Nairobi 2023, our client organised a conference for 300 teaching staff from 70 nations, with attendees arriving and departing at varying dates and times.

English was generally not the first language for many of the conference attendees and no immediate list of the attendees was available, with many attendees unable to commit to attending the conference, therefore adding the need for flexibility to their travel arrangements.

Key Travel needed to manage the logistics for the event with a tight focus on cost as our client was funding the cost of delegate travel.

Our Solution of the Global Teaching Conference in Nairobi 2023

We configured a bespoke version of our Online booking platform for flights only and agreed flight costs based on thorough airfare benchmarking. Anything within the agreed parameters would be booked and anything outside of the parameters would be digitally sent for approval. Booker behaviour was guided based on the pre-agreed travel policy for the conference. Lists of new attendees were added to the system on a regular basis.

Digital guides were created in multiple languages and embedded as pdfs into the online booking platform for easy delegate access.

Complex routes were supported via our offline Reservations team through a dedicated team and process, specifically developed for the conference.

Key Travel created a new sub-department within the customer’s account called GC23 to ensure reporting was kept separate.

The Results of the Global Teaching Conference in Nairobi 2023

  • Over 300 flights were successfully booked, with 270 bookings completed using the online platform.
  • 145 attendees took advantage of our enhanced, flexible Key Travel fares, saving costs and benefitted from additional baggage and flexibility.
